Doctoral Dissertation Extraordinary Expense Award

Eligibility

The program is restricted to doctoral students; Master's students may not apply. A doctoral student is eligible once two conditions have been met: (1) documented satisfactory completion of the General Examination and (2) full approval of the Dissertation Proposal by the Executive Committee of the Graduate Faculty Council (including full approval for the use of any human and/or animal subjects in the research).

Amount and period of award

Each eligible student may receive a lifetime maximum of $500 under this program. Students must apply for current and/or projected expenses, rather than for expenses incurred in the past, as the awards are not retroactive.

Categories of eligible expenses

Extraordinary expenses are defined as those non-routine expenses directly related to collecting/analyzing data for the thesis, such as the following: printing and mailing of questionnaires; fees paid to subjects involved in the research project; fees paid for the transcription of research material from tapes; travel necessary to administer questionnaires, to interview subjects, or to do research at libraries and sites away from the campus; and unusual items of equipment or supplies which the student's academic department does not routinely supply for its students. It is important for you to explain how the expense relates to your dissertation. Applications without sufficient justification will be returned.

Ineligible Expenses

Travel to and from your home to the University; routine and/or minor supplies; and costs associated with activities that occur after the research has been completed (e.g., editing, typing, word-processing, proof-reading, photocopying the dissertation, graphics for the dissertation, etc.) are ineligible expenses for this award program.

Deadlines

There is no deadline. Extraordinary Expense Applications may be submitted at any time. Applicants usually are notified of the outcome within two weeks of the date of submission. An award letter will be mailed to you at the address you have listed on the application form and a copy will be sent to your department or program’s administrative assistant. After you receive your letter, you must ask the administrative assistant to complete the required paperwork to process the various expenditures. Guidelines are included in the award letter.
