Doctoral Student Travel Award

Doctoral Student Travel (DST) funding information

  1. Active Participation:
    1. Funds are specifically available to support doctoral students’ who are “actively participating” in domestic or international meetings of professional societies directly associated with a doctoral student’s research.
    2. In conjunction with a conference, symposia, seminar, colloquia or workshop (this category is in support of and not attendance to), the student must:
      1. Present a research paper or poster session; or
      2. Be a chairman of a research session; or
      3. Participate in the role of the discussant (for full presentation papers) on a symposium panel; or
      4. Participate in a gallery opening, solo, choral, orchestral, musical, and dance performances.
  2. Financial Support:
    1. Fiscal Year Allocation (July 1 – June 30) provides financial support of up to $750 for doctoral students across all disciplines.
    2. Any qualifying amounts exceeding the maximum amount of the $750 DST award are the responsibility of the student.
    3. Funds are limited and are not guaranteed. Funding is dispersed on a first-come, first-serve basis.
    4. Funds are available one time only during a student’s academic career. Any unused funds will not be available for future use.
  3. Funding Cycles:
    1. Two Doctoral Student Travel funding cycles occur during an academic year:
      1. Fall travel is from July 1 and December 31. Applications open in mid-June.
      2. Spring travel is from January 1 and June 30. Applications open in mid-December

Travel award approval is based on these important guidelines:

  1. Retroactive Applications not allowed:
    1. Application for travel funding must be sought and granted before any travel commences. A DST award will not be granted retroactively under any circumstances. Applications for retroactive trips will not be processed. There are no exceptions.
  2. Utilization of Funds and Adjustments to the Award:
    1. Funds for travel must be utilized for the time period requested on the application during the fiscal period in which the application was submitted. (Jan 1-June 30 or July 1-Dec 31).
    2. To make adjustments to the award letter prior to travel, forward the original letter to barbara.parziale@uconn.edu noting the changes you are requesting.
  3. For Reimbursement Purposes Only:
    1. Travel awards are intended to be used for reimbursement for requested travel only. They are not designed to be used for making travel arrangements.
  4. Submission for Reimbursement of Travel Expenses:
    1. Submission for reimbursement of travel expenses must be completed within six (6) weeks after returning from the trip. The Graduate Program Financial Administrator in your department will assist you with your reimbursement.
  5. Travel Rules:
    1. Funds are subject to the same campus-wide travel rules that are applied to faculty and staff.
    2. Currently a travel ban exists for Mississippi and North Carolina. No requests will be approved for travel to these states.
  6. Eligibility:
    1. Students at UConn Health are not eligible for this award.

DST Eligibility:

  1. To be eligible for funding:
    1. The applicant must have successfully completed at least 30 credits towards his/her degree program prior to the semester in which he/she is requesting funding (a minimum of 15 credits have to be on the Doctoral Plan of Study).
    2. The applicant must be a doctoral student.
    3. The applicant is not eligible if he/she has received a prior DST award in any amount.
    4. The funds (up to $750) must be used only for travel to meetings at which he/she is presenting his/her research
    5. The applicant must receive signature travel approval from his/her major advisor and department head as indicated by their signatures on the application.

Travel Restrictions:

  1. Students are responsible for knowing any and all travel advisories and restrictions and should plan accordingly.
  2. Reimbursements for travel may be affected by restrictions. Please check with the travel office at http://travel.uconn.edu/.
  3. Students should familiarize themselves with alerts and warnings issued by the U.S. Department of State at https://travel.state.gov/travel/en.html/.
