Be FERPA Ready: Sharing Your Student Information

As a University student, the Family Educational Rights and Privacy Act (FERPA) and University FERPA Policy afford you certain rights with regard to disclosure of your student records and information. At times, you may wish for another individual, such as a parent/guardian, sibling or employer, to be able to access or discuss your student records. Except in limited circumstances, the University will need your prior written consent to release copies of your records or share information from your records to these parties. We have several tools in place for you to document who we may speak with or share records with on your behalf.

FERPA Designee Pin Page

Students may log into the FERPA Designee Pin Page (FDPP) to designate anyone – (e.g., a parent, a guardian, a significant other, employer) to grant permission for University staff to discuss the categories of information. The individual a student designates is called the student’s “FERPA Designee.” Students will enter the following information into the FERPA Designee Pin Page for each person they choose to designate: 1) proper name (first and last name) of the designee; 2) assign each designee a 4-digit pin code; 3) select what categories of information they give permission for University staff to discuss.

After the FERPA Designee Pin Page is completed, students should make sure that each designee knows their 4-digit pin code and what categories of information they have granted permission for University staff to discuss. When a designee contacts certain offices, they will be asked to provide their name and their 4-digit pin code. Names and pin codes must match what is listed on the FERPA Designee Pin Page in order for University staff to discuss information specific to a student’s education record. Logging into the FERPA Designee Pin Page to manage your designees is a quick process and permissions can always be modified by you in the future. 

Delegated Access

Delegated access is a function offered within the Student Administration (“Student Admin”) system. This feature enables you to invite others, such as parents or spouses, to create a delegate account and access information in Student Admin that you have given them permission to view. The individual(s) you delegate will be able to see certain Student Admin screens just like you see them. Like FDPP, access permissions can be modified by you at any time. TouchNet
